What we collect
When you contact us: your name, company, email address, telephone number if you provide it, the nature of your enquiry, and anything else you choose to include in your message.
When you join our expert network: your name, email address, telephone number, LinkedIn profile, professional experience, platform expertise, certifications, availability, indicative day rate, and your CV if you upload one.
When you use our website: the page visited, the referring site, your browser and device type, and a country inferred server-side from your connection, all received in aggregate via Vercel Web Analytics. No cookie is set and no individual visitor is identified — see our Cookie Policy.
When you engage us or we engage you: contact and identification details, contractual and financial information, and records of our dealings with you.
Why we use it, and our lawful basis
| Purpose | Lawful basis |
|---|---|
| Responding to your enquiry | Legitimate interests (responding to a request you made) |
| Considering you for, and presenting you to, consulting engagements | Legitimate interests, and performance of a contract where one is in place |
| Providing our services and managing engagements | Performance of a contract |
| Sending you relevant insights and updates (where you have asked for them) | Consent, which you may withdraw at any time |
| Operating, securing and improving our website | Legitimate interests |
| Meeting legal, accounting and regulatory obligations | Legal obligation |
Where we rely on legitimate interests, we have considered whether those interests are overridden by your rights, and we have concluded they are not. You may object at any time — see “Your rights”.
We do not sell your personal data. We do not use it for automated decision-making that produces legal or similarly significant effects.
Who we share it with
- Clients and prospective clients, where you are a consultant in our network and we present you for an engagement. We tell you before we present you, and we agree terms with you first.
- Service providers who help us operate: website hosting, form processing and email delivery, cloud storage and productivity tools, our CRM, and our accountants and professional advisers. They act on our instructions under written terms. Specifically: Vercel hosts the site and provides its cookieless web analytics, which report aggregate visit data and identify no one. Web3Forms processes the enquiry and network form submissions. Microsoft 365 receives and stores the resulting email.
- Authorities or third parties where we are required to by law, or to establish, exercise or defend legal claims.
International transfers
Some of our providers, and some of our clients and delivery partners, are outside the UK — including in the EEA, the United States, the United Arab Emirates and Asia-Pacific. Where personal data is transferred outside the UK, we rely on UK adequacy regulations or on the International Data Transfer Agreement or Addendum, together with appropriate safeguards.
How long we keep it
- Enquiries that do not become engagements: 24 months from last contact.
- Expert network records including CVs: for as long as you wish to remain in our network, reviewed every 24 months. Tell us to remove you and we will.
- Client and engagement records: 7 years after the engagement ends, for legal and accounting purposes.
- Website analytics: held only as aggregate statistics, which contain no personal data.
How we protect it
Access is limited to those who need it. Data is held in reputable cloud services with access controls and multi-factor authentication. We keep records of our processing and review our security arrangements periodically.
Your rights
You have the right to access your data; to have inaccurate data corrected; to have data erased in certain circumstances; to restrict or object to processing; to data portability; and to withdraw consent where we rely on it. Exercise any of these by emailing privacy@wearequeensgate.com. We respond within one month.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office: ico.org.uk, 0303 123 1113. We would appreciate the chance to address it first.
Changes
We may update this policy. The current version is always on this page with the date it was last updated.
